It’s crunch time! You need to present all your social media metrics, data and findings to the leadership team before the month ends. Not to mention the millions of other things on your to-do list, a presentation is the last thing you need to worry about. It’s a busy time of year and it can take a lot of time to prepare a presentation.
And yet you want to be able to perform at your best to impress everyone and feel proud about your work. That’s why you are where you are now. You love your job but sometimes it seems like the world doesn’t want you to succeed.
Guess what… we get it and we’ve all been in that situation before. So fear not, we want to share with you a few quick hacks and workarounds that you can use to become a world class marketing professional.
1. Export Reports like a Vegas Magician
Crowdbabble has great export features, specifically for PDFs! All the accounts’ analysis can be exported as a PDF report. This can save a lot of time planning your report and presentation. Spend less time making and organizing all your data and spend more time preparing what you are going to say for your presentation. You can export the PDFs by heading to your social media account and selecting PDF from the dropdown menu (see image below). You don’t have to go through each graph and tab; an entire PDF can be printed out for your own notes and analysis!
2. Create Visually Stunning Slides like an Artist
You might have to make a slide deck using Keynote or PowerPoint. A good tip is to make visually engaging and yet simple slides. Having your slides focus on one thing at a time is a good starting point. This is especially important when presenting your fancy graphs and data points. Crowdbabble makes this easy by allowing any of our visualizations to be exported into a PNG image file that can be inserted into a slide by clicking on the download button (see below). We’ve made a template for you to use, feel free to modify it using PowerPoint for your own needs (download here).
3. Show Depth like a Champ
Some people say that showing more data is not a good thing because it’s hard to engage people. We disagree. Often the problem lies in the presenter’s ability to organize and communicate the data. Everyone wants more information – and more information can lead to better decisions, so don’t be afraid to show all the metrics you need to tell you story! It may take additional time to talk through all your points, but your audience will appreciate it.
4. Share Ahead of Time like a Team Player
One of the best things you can do for your colleagues is sharing your presentation ahead of time, ideally before the meeting starts so they have enough leeway to glaze over everything. Everyone will appreciate your efforts as they will know what to expect. Much like a university professor who provides their lecture outline, it helps the audience prepare so they can retain more information and focus on learning. The more engaged listeners you have, the better your presentation is received. You can share your PDF from point #1 to others by email, the cloud or print.
5. Anticipate Questions like a Professor
By sharing your slides, it’s wise to anticipate questions. This is an often overlooked aspect of preparing your presentations, but it might be the most important thing you can do. Always try to think of questions your colleagues might have beforehand. By trying to predict the type of questions, you can organize your thoughts more clearly and even address a few of your colleagues’ questions in the presentation itself. Either way, anticipating questions aids in mental preparation allowing you to feel confident, prepared and ready for action.
Bonus Hack – Practice and practice harder like an Athlete
Like we said, we understand that you may not have time. Even if you have 10 mins, take those 10 mins to practice. Any amount of practice is good practice! It will help you become a better presenter. Michael Jordan was famous for his work ethic where he practiced harder than he played. It allowed him to adapt to any facet of the game. Just like the famous Greek Spartans, they believed that when you sweat more in practice, you bleed less in war. Practice is a great growth exercise and studies have shown that it increases confidence and allows you to approach performance at an expert level faster. In fact with enough practice, it will allow you to present directly into a “groove” so you don’t have to think about it. With more practice, you will be able to develop your own style of presenting, this may include free form presenting, presenting with a tablet or even cue cards. Of course, whatever works for you but it’s important to practice to figure your style out.
But remember…
Even with all these tips and you may still end up making a mistake… don’t worry we are only human. Mistakes are just disguised as opportunities for you to improve. Reflect, move on, and try again.
