Store and Share Accounting and Project Management Files More Securely

We’ve said it before and we’ll say it again — your business is only as good as your security. And if you’re running a business like construction, legal, or any consulting work like design, you need to be secure on the go, so your face is in front of clients not your desktop. This means that, particularly regarding your contracting, sales proposals and the like, you need to make sure to have an integrated mobile resource to share your files securely. Well, great news — you can now link your ShareFile account directly with your QuickBooks Online, Xero, FreshBooks and Basecamp accounts to store and retrieve files directly from ShareFile. Once you link your accounts, your files can be securely shared, stored, tracked, edited and annotated from anywhere in the world. Then, all your files are automatically backed up.

How does it work?

When you log into your ShareFile account (or create a new one!) click on Apps > Featured Integrations. Here you will find the four new integrations that you can choose to integrate with your ShareFile account.

For each integration, the first time you will have to Authorize the integration. Then certain accounting, finance, and project management triggers, detailed below, are automated and streamlined, all with an enhanced level of security.

Working on multiple projects? Not a problem. You can set up multiple connections to your Basecamp account, for example, one for each project, and have each one point to a different folder in ShareFile. You can even use ShareFile’s folder access controls to give other team members access, send notifications of a file upload or use ShareFile’s mobile apps to access and edit documents on the go.

Once you’ve authorized your ShareFile integration with FreshBooks, you need to decide what you want to do with it.

You are able to filter according to FreshBooks invoice statuses and the value of the invoice. You can choose which Status (Disputed, Partial…), create a minimum or maximum amount, and then the ShareFile folder you want these specific invoices to appear in.

Why is this useful? Each person at your company is tasked with looking at and dealing with different things. This automatically does the back-office work for you, making sure each person has the right information. You can create different configurations with different requirements and folders for different staff members.

Once you have created a specific configuration, it will now automatically be in your specified ShareFile folder/s and then it will update the number of new invoices on your Featured Integrations homepage, checking automatically about every ten minutes, but you can manually refresh as well.

QuickBooks Online Accounting Software Integration with ShareFile

For your QBO invoices, simply select the specific ShareFile folder you want your invoices to appear in, and then hit Create Integration.

Xero Accounting App Integration with ShareFile

For your Xero invoices, simply select the specific ShareFile folder you want your invoices to appear in, and then hit Create Integration.

Basecamp Project Management Integration ShareFile

After the first time you authorize the ShareFile integration with Basecamp, all current projects will be displayed to the user, enabling you to map all documents attached to that particular project into your selected ShareFile folder.

Why is this useful? This means that you can automatically share related documents with all people involved, including your clients, without having to give them access to the Basecamp project, nor with having to juggle and organize often large files.
